FleetPlus vs spreadsheets

A spreadsheet is not the source of the data. It is a hand-made copy of it, and every gap between copy and original surfaces at close.

FleetPlus vs spreadsheets
CriterionFleetPlusSpreadsheet
Where the data comes fromThe transaction itself, recorded as it happensTyped in by hand from paper receipts
When the report is trueLive, at any momentOnce entry is finished — usually month end
AuditabilityEvery line ties to before/after photos and a certified providerA line of text, editable without a trace
Preventing overspendA spend limit blocks the transaction before it happensPrevents nothing — it records what already happened
Multiple usersPermissions per role and branch, and a record of who did whatSeveral copies of the file, and no way to tell which is current
Accounting integrationOne tax invoice, plus APIs into your systemsCopy and paste into the accounting system

The short answer

A spreadsheet needs a person to type into it, which makes it exactly as late as that person is and exactly as accurate as they are. FleetPlus produces the record from the transaction itself, as it happens, so there is no entry step to fall behind or get wrong. In practice the difference is that "how much did Riyadh branch spend on tyres this month" has an answer now, rather than after the file is updated.
